Human Resource is of the people, by the people and for the people. Key elements of an HR is to recruit the right talent at the right time; employees’ skill enhancement; appraisals; managing disputes – all these leads to People Management. Every employee possess a quality of an HR such as superiors strive to build a strong team; motivating the team to deliver more than what they are expected to ; managing their career path; developing public relations and many more such actions. However every Organization requires an HR to function in a more strategic & structural way.

Human Resource comprises of people who embody their knowledge for the excellence of the company. It is they who channelize and build a path between employee & employer, design and propose the Organizational plan as per industry; recruit the right candidate; employees’ training; employee engagement; analyze cost of hiring; attrition rate; cost of hiring; performance cycle and above all defining & enforcing the standard HR practices and processes to make the work atmosphere smooth for all to work and deliver their best performance. HR defines and generate awareness from time to time - the terms & conditions of work; legalities to be taken care of while on work for the Workforce.

From time to time have visited or became the part of discussions for the HR terms which are an actual base used to build Human Resource Management System (HRMS). At times had notice that people are not clear about the realistic meaning of terms such as Offer / Appointment Letter; Designation/ Job ,Position, Role/; Job Rotation / Transfer. I am herewith sharing my understanding based on actual experience I faced.

  1. Offer Letter: It is the document issued to the final candidate confirming him / her about his / her selection for the particular post; DOJ; CTC (minus breakup); List of documents to be submitted on joining.
  2. Appointment Letter: Appointment letter is issued either on joining OR on completion of probation period (as per company policy). It is a detailed document that speak about ones’ employment for the post of; actual DOJ; reporting manager; base location; Salary break up; Terms & Conditions for work. Two signed copies are issued – one to be signed & accepted by employee and to be submitted to HR wherein one copy for employees’ reference.
  3. Job / Designation: Job serves as job description that apply to several positions with similar tasks or characteristics. In simple language Job describes Positions. Example: Manager.
  4. Position: Position depicts the status of employees’ in the organization which they have earned due to their performance. Example: Manager – Sales
  5. Role: Role is an expected OR prescribed behavior from an employee. It is an elaborate form of ones’ job responsibility. Example: Regional Manager Sales – North.
  6. Job Rotation: Job rotation is done in two scenarios i.e. one when the business want its employee to learn more than one aspects of working in the company, uses it as a cross training of employees for optimizing the workforce; Second job rotation is also in a transfer of sorts, from one department to another, it could be for interim period as well.
  7. Transfer: Transfer is executed for the cases wherein employee has been promoted and need to be moved from one location to another; employee seeks transfer as could not coexist with the team OR need a change from the current profile OR due to personal reason needs a change in location.
